RIDINGS DOWSERS  - PRIVACY POLICY

This Privacy Notice tells you about our use of information and your rights in respect of certain information which Ridings Dowsers may hold about you whether or not you are a member of Ridings Dowsers. Ridings Dowsers are committed to protecting your personal information, using it only in accordance with our responsibilities and being transparent about what is done with it. Processing of your personal information is carried out by Ridings Dowsers. We will not do anything with your information which you would not reasonably expect. How and when we collect information

We may collect and store information when you interact with us, which could be when you: 

  • become a member or renew your membership

  • support our work through a donation

  • become a speaker at our meetings

  • attend our meetings

  • ask to receive our information emails

  • fundraise on our behalf

  • register or participate in an event or conference or in other activities we may undertake

  • submit an enquiry

  • tell us information about yourself

  • make a complaint

 

The information we might collect

When you engage with us by email, phone, mail, in person or online, or if you attend any of our meetings or events, we may keep information you give us. For non-members this would normally only be your name and email address. For members we also store your subscription details e.g. when you have paid up to. In some circumstances we may also keep your address, telephone number, and/or other information relating to you personally which you choose to provide to us.

Ridings Dowsers may maintain membership, attendance, and other lists related to the activities of Ridings Dowsers. This would include the personal information mentioned in the previous paragraph. 

Ridings Dowsers may take photographs, videos or other media (or ask others to do so on its behalf) for publicity and promotion purposes. We will ask permission to do so, explain how the media will be used, and allow you to opt out of being recorded. You may also ask later for media which includes yourself to be deleted.

Data protection recognises that certain types of personal information are more sensitive. This is known as “sensitive” or “special category” personal information and covers information revealing e.g. ethnic or racial origin, religious or philosophical beliefs, political opinions, trade union membership, and information concerning health or sexual orientation. Normally, Ridings Dowsers would not seek or keep such information. However, there may be circumstances where you wish us to keep such information e.g. health information. 

 

If you are 18 or under

If you are aged 18 or under, you must get your parent’s/guardian’s permission before you provide any personal information to us.

How and why we use your information

We will use your personal information for the following purposes: 

  • To manage your membership of Ridings Dowsers and/or your involvement in our activities.

  • To tell you by mail, email, and other methods as appropriate about the activities of Ridings Dowsers and provide you with news related to Ridinngs Dowsers and matters of interest connected to dowsing and related activities.

  • To record and to provide you with a response and/or resolution if you contact Ridings Dowsers with a query, request or complaint.

  • To fulfil any legal obligation to which we are subject.

 

Who do we share your information with?

 

We will only use your information for the purposes for which it was obtained. We will not share or sell your information with any third party unless you have agreed e.g. a publicity photo. Otherwise, we will only share your information where legally required.

How we protect your information

We use technical and other prudent security safeguards to ensure that your personal information is secure. We ensure that people with access to your information are aware that such information is only used in accordance with this Privacy Notice. We review who has access to information which we hold to ensure that it is only accessed appropriately. If, despite our precautions, your data is stolen or accidentally revealed, we will inform you.

Your rights to your personal information

Data protection legislation gives you the right to request access to personal information about you which is held by Ridings Dowsers, to have any inaccuracies corrected, or to have your information removed from our records.  You may also ask us to restrict the processing of your personal information, or object to it, both in certain circumstances e.g. if you feel the information we hold is incorrect. Deleting your personal information

We will delete your information if there is no longer a reason to keep it. You have the right to ask us to erase your personal information. However, for legal reasons or requirements of running Ridings Dowsers we may not be able to delete all or some of your information immediately, e.g. the names of people who have made donations or to whom money has been paid.

Please contact Ridings Dowsers Secretary (details below) in writing (on paper or by email). We will respond as soon as practicable and in any event within one month of receipt of your written request.

How to make a complaint or raise a concern

If you want more information or have any questions about this policy, to make a formal complaint about our approach to data protection, to raise privacy concerns or to make a complaint about how we have handled your personal data, please contact the Ridings Dowsers Secretary (details below) in writing. If you are not happy with the response you receive, then you can raise your concerns with the relevant statutory body, which is the Information Commissioner’s Office.

 

Changes to this Privacy Notice

This Privacy Notice may change from time to time, and we will endeavour to tell you as soon as practicable if that happens.
